Quote Body

This article details the features available in the Quote Body section, which becomes available when editing a saved Quote.

The Quote Body features only become available after a quote has been saved for the first time (i.e. it is not initially visible when the New Quote tab is selected).

The Quote Body features are displayed when (which is pinned to the bottom of the screen when viewing a saved Quote) is pressed.

The Quote Body features vary depending upon the type of Quote Template that was selected when creating the Quote. For further information about the available types of Quote Templates, see Settings > Leads Settings > Quote Templates.

Editing the Quote Template

This feature is only available for Quote Templates that were created with the Built in HTML Editor, in which case the entire Quote Body can be edited using the Built in HTML editor

Template Toolkit Features

The following features are available only for Quote Templates that were created with the Template Toolkit (including templates imported via the Template Toolkit Library).

  • Paragraph Editing
  • Canned Paragraphs
  • Inline Editing

Paragraph Editing

For this feature to be available, the template must include at least one paragraph placeholder.

Up to 9 Quote Paragraphs can be edited in the Quote Body.

The placeholder (e.g. [% paragraph_1_text %]) for a Quote Paragraph must be included in the selected Quote Template, otherwise the Quote Paragraph will not be available in the Quote Body, and the paragraph will not be displayed in the produced Quote document. For further information about configuration of Quote Templates, please refer to article Leads Quote Template Library (Settings), which explains the use of placeholders, including the paragraph placeholders being referred to in this section.

In this documentation, the Quote Paragraph names are referred to with their default labels (e.g. Quote Paragraph 1, Quote Paragraph 2, etc). In your CommTrak, the labels may have been modified to facilitate your organisation's quoting requirements. These labels should also typically be reflected in any related headings in the Quote Template.

If changing the paragraph labels, it is strongly advised that the updated labels include the original paragraph number. For example, Quote Paragraph 1 could be relabelled as Special Quotation Notes (Paragraph 1), and Quote Paragraph 2 could be relabelled as Delivery Instructions (Paragraph 2). Retaining the paragraph number in the paragraph label ensures that the labels can easily be cross-referenced to the placeholders in the Quote template (e.g. [% paragraph_1_text %]).

The Quote Paragraphs editor is displayed at the top of the Quote Body section, as shown in the following image:

Text can be entered into any of the Quote Paragraph fields, as shown in the previous image. In addition to manually typing or pasting text, Canned (predefined) paragraphs can also be appended to each Quote Paragraph field; see the section Quote Canned Paragraphs in this article for further information.

The Quote Template preview is displayed below the Quote Paragraphs editor:

In the example shown in the previous image, the [% paragraph_1_text %] placeholder is where the Quote Paragraph 1 text will be displayed in the Quote.

To see a Quote preview, in which the placeholders are populated with the current Quote information, save the Quote Body and press (pinned to the bottom of the Quote screen).

The following image shows a Quote document preview containing text that was entered into the Quote Paragraph 1 field (based on the previous images in this article):

Warranty

In addition to the Quote Paragraphs (1-9), there is a Warranty field (located below Quote Paragraph 9), which is populated automatically, based upon the configuration of Inventory items included in the Quote:

The Warranty field allows for the application of individual warranty terms for each item in the Quote.

The placeholder for the Warranty paragraph must have been included in the Quote Template design, otherwise the warranty text will not be displayed in the Quote document.

By default, the Warranty field cannot be edited manually. Manual editing of this field can be enabled by changing the Allow warranty terms to be changed per quote, setting to Yes. See the Leads Miscellaneous (Settings) article for further information.

Quote Canned Paragraphs

In addition to being able to manually enter text for each Quote Paragraph, Quote Canned Paragraphs (predefined paragraphs) can be selected for insertion into Quote Paragraph text.

To insert Quote Canned Paragraphs, press the insert icon adjacent to the Quote Paragraph field label (highlighted in the following image):

The Quote Canned Paragraphs pop-out window is displayed:

The Quote Canned Paragraphs window displays paragraphs assigned to the selected paragraph, and also any paragraphs designated as All Paragraphs.

Tick the box adjacent to the canned paragraph(s) which should be appended to the Quote Paragraph field, and press Append.

The text for all selected Canned Paragraphs will be appended to the Quote Paragraph field:

In the above image, the example Payment Terms 30 days option was selected. Multiple canned paragraphs can be selected and appended if required.

Inline Editing

Toolkit Template paragraphs be can configured to enable inline editing; i.e. the text can be clicked in the Quote Body preview, and edited.

Inline editable paragraphs can be identified by hovering the mouse cursor over the text in the Quote Body preview. If it is editable, the paragraph will be highlighted with a shadow and can be clicked for editing.

Implementing Inline Editing

Inline editing is implemented by editing Quote Templates to include a special HTML tag.

If you are familiar with HTML and would like to add editable areas to a template, insert a div tag (or update an existing div tag) with the class: pdf-editable 

For example: 

 <div class="pdf-editable"> Optional text goes here</div>

Saving Changes to the Quote Body

Once all editing has been completed, press to confirm any changes.
