Active Jobs List

In this article:

The Active Jobs list, accessed from the main CommTrak menu, displays a list of all active Jobs depending on the selected filtering criteria.

An Active Job is a Job that does not have a status of Closed or Cancelled.

In addition to being able to view Jobs via the Active Jobs list, Jobs for a specific Customer can also be viewed directly from the Jobs tab at the top of a Customer screen. See Support Centre article Job List (Customer) for further information.

The Active Jobs screen consists of three sections:

Screen Tabs

This section, displayed at the top of the Active Jobs screen contains the following buttons:

  • Job List - Display active Jobs (default view for this screen)
  • Schedule - Display the Job scheduler
  • Map - Display a map of active Jobs (optional feature)

The optional map feature is available on request, as it requires configuration prior to use. Please contact CommTrak Support Team to request more details about accessing this feature.

Jobs Filter

The Jobs Filter section of the screen provides features for searching and filtering the Active Jobs list:

Find Job

General Search:

  • Start typing in the Find field to search for active jobs. A minimum of three characters is required.
    • A dropdown list will appear, showing active Jobs where the matching search characters are found in the following fields:
      • Company Name
      • Legal Name
      • Job Type
      • Technician Name
    • The dropdown will display each Job's company name, Job ID and (if available) suburb and state.
    • Selecting a Job from the list will open the Job Details screen for that Job.
    • If you press the Find button instead of selecting from the dropdown list, the Active Jobs list will be filtered to show only jobs where the specified fields contain the entered characters and meet any other specified criteria.

Search by Job ID:

  • To find a job by its ID, enter the Job ID (with or without the Job prefix, e.g., JB187 or 187) in the Find field.
    • Press the Find button to filter the Active Jobs list to show jobs that exactly match the entered Job ID and meet any other specified criteria.

Clearing the Jobs Filter:

  1. Remove any characters from the Find field
  2. Clear the Date Range fields (press the C icon to clear a date field)
  3. Untick any selections in the Status, Progress, Type and Staff filters
  4. Press Find

The following filtering options are available:

  • Date Range - specify a start date and end date range use the Date Selection icons
  • Status - the status of the job (e.g. Booked, Unconfirmed booking, etc.)
  • Progress – the Progress of the Job
  • Type - the Type of job (e.g. System Installation, Cabling Fault, etc.)
  • Staff - staff members who may be allocated to a job. This filter includes an Unallocated option.

Multiple items may be selected for each of the filters, and multiple filters can be selected simultaneously.

The options visible in the Status, Progress and Type fields are dependent on the settings for each of those fields; see the Support Centre Job Settings category for information pertaining to the configuration of each of these fields.

Filter settings are remembered for each user; leaving the Active Jobs list screen and returning will retain the previous filter settings.

Active Jobs

The Active Jobs section lists all active Job assignments that match the selected search and filter settings.

  • A Job assignment is an allocation of a Job task to a specific Technician.
  • An Active Job is defined as a Job that does not have a Status of Closed or Cancelled.

The columns displayed in this section are dependent upon the user's preferences; see Support Centre article Column Sorting & Customisation.

There will be multiple entries for the same Job ID if tasks within the same Job have been assigned to multiple Technicians. We recommend customising the columns to display the Technician's name for easy identification of Job assignments.
