General Miscellaneous (Settings)
The General Settings, Miscellaneous screen provides access to settings that cannot be categorised under other available General Settings.

The following settings relate to CommTrak calendar synchronisation with third-part calendars (such as Outlook), and should not be modified unless advised by CommTrak Support team, or your organisation's technical team, if they are responsible for the implementation of calendar synchronisation.

Enable 3D view for graphs that support it (Yes / No)
Some Dashboard charts can be displayed with a 3D effect; this setting enables 3D view for charts that support this feature.
Incoming Documents
These settings relate to the Incoming Documents feature.
Automatically store and allocate incoming email documents
If enabled, documents forwarded to your organisation's unique Incoming Documents email address will be automatically allocated if they contain a valid item number in the email subject. (e.g. CR, LD number)
Folder to store customer incoming email documents
When documents are forwarded to your organisation's unique Incoming Documents email address, they will be stored in the folder designated in this setting.
The drop-down list of document folders is generated from the items configured in Settings Customer Settings Document Folders.
For more information about CommTrak Incoming Documents feature, please see the following Support Centre articles:
Click to Call
For operation with desktop telephones, the Click to Call feature requires configuration and compatibility with your organisation's telephone system. Please contact CommTrak Support for further information about compatible systems and configuration.
When the Click to Call feature has been enabled and configured to operate with your organisation's telephone system, most telephone numbers displayed within CommTrak, on a desktop browser, can be clicked to automatically dial from the user's desktop telephone.
This feature can also be enabled, such that when CommTrak is being used on a mobile device, tapping the call icon (displayed next to a telephone number) will dial the number using the mobile phone. This feature does not require additional configuration, as it does not rely on compatibility with your organisation's telephone system.
Enable Click to Call links
The available options are:
- Disabled: A Click to Call icon will not be displayed next to any telephone number displayed within CommTrak.
- Mobile devices only: The call icon will be displayed next to telephone numbers, when CommTrak is being used on a mobile device.
- Mobile and Desktop devices: The call icon will be displayed next to all telephone numbers in both desktop and mobile browsers.
Click to Call phone system compatibility
A drop-down list presenting a list of compatible telephone systems. Your organisation's telephone system should be selected from the list.
Other
This section contains settings relating to miscellaneous aspects of CommTrak.
Email address to notify change of leave request status for staff
When there is a change in the status of leave request, the email address specified in this setting will receive a notification. Only a single email address can be specified in this field.
For more information about the CommTrak Leave feature, please see the following Support Centre articles:
Online map URL to use when displaying customer addresses
Some address fields, such as those in Leads and Customer screens, display an icon which, when clicked, opens a new browser tab to display a map identifying the location of the address.
This field designates the URL to be used when displaying maps. By default, a link to Google Maps is provided, but this may be changed to the URL of an alternative, compatible map service if required.
Online ABN lookup URL to use when displaying Australian Business Numbers (ABN)
ABN (and related) fields, such as those in Leads and Customer screens, display an icon which, when clicked, open a new browser tab to display the Australian Business Register search site.
This field designates the URL to be used when displaying the search web site.
How many records per page to display by default (Tickets, Jobs, Workflow etc.)
This field designates the default number of records that will be displayed on pages that display multiple record-rows, such as Customers, Active Leads, Active Tickets, etc.
When a user changes the number of records displayed on any of these screens, the default setting is overridden (and remembered) for that user.
This setting also determines the default number of records displayed in Summary Panels.
Enable notification of a record being worked on by multiple users
Enable / disable Concurrent Viewer Alerts.
SMTP mail server to use for sending emails
The Internet address of the SMTP (mail) server, used by CommTrak, for sending emails.
This setting should not be modified, unless advised by CommTrak Support.
SMTP Use Microsoft 365 instead of SMTP mail server to deliver all outgoing emails
If Microsoft 365 integration has been enabled for your CommTrak, using Microsoft 365 email for sending outgoing emails from CommTrak is preferred. However, this setting should not be enabled unless you have configured the CommTrak / Microsoft 365 integration appropriately. Please contact CommTrak Support for advice prior to enabling this setting.
Productivity
This section contains settings relating to miscellaneous productivity settings.
Enable productivity timers in jobs and tickets
Enable the Productivity Timers feature in jobs and tickets.
Maximum hours that can be logged in a single productivity entry (default 10)
The maximum duration allowed for a single productivity entry; from 1 to 16 hours can be specified.
Enable autofill of job/ticket notes using productivity activity (default No)
If productivity duration and activity have been specified for a Note, and the note text field is empty, the note text field is populated automatically with the productivity activity upon pressing Save. For example. This feature is useful for cases where staff are not required to enter a description of the activity, as it prevents the need to manually enter some text into the note field.
Reports
This section relates to various settings relating to CommTrak Reports.
How many results maximum should any report produce (default 100)
This option affects on-screen reports only (i.e. when pressing the Produce Reports button).
When displaying an on-screen report, this setting limits the number of results that are returned.
Displaying fewer records results in a faster screen refresh after running the report (e.g. displaying 100 records is effectively 10 times faster than displaying 1000 records), and requires database resources.
It is recommended that the number of results should be set as low as is practical for use within your organisation.
Comma separated list of IPs permitted to view CommTrak dashboards (partial IPs accepted)
Specifies IP addresses from which Sales, Tickets and Telesales Standalone Dashboards, and Onquevision Digital Display Dashboards, can be accessed.
- Multiple IP addresses can be specified, separated by a comma.
- Partial IP addresses can be specified (e.g. 212.255)
This feature enables access to Dashboards from outside your organisation's main premises. For example, your organisation may have multiple sites that need to display the Dashboards, or you may have specific employees who, (or remote Onquevision equipment which) need to access the Dashboards from a fixed, remote location.
This feature is intended to be used with locations that have been allocated a static IP address. Most domestic Internet connections now use dynamic IP addresses which can be allocated to any other customer of the Internet Service Provider, at any time. Dynamic IP addresses should not be used with this feature.
