Active Leads Screen

The  Leads screen displays a list of leads that can be sorted and filtered for selection or reassignment, and is accessed via the Leads option in the CommTrak Main Menu.

My Statistics

This section presents today's statistics for the currently signed-in user.

Leads Open

The number of leads that are currently open (Lead Status 10% to 90%)

Follow-ups Due

The number of follow-up calls that are due or overdue today (i.e. the follow-up call should be made today, or should have been made prior to today).

Successful Today

The number of successful leads closed today (Leads Status 100% - Successful)

Unsuccessful Today

The number of unsuccessful leads closed today (Leads Status  Unsuccessful)

New Lead

Clicking   presents the Modify contact details - New Lead screen, into which the details of a new lead can be entered.

Leads Search

This section presents a number of criteria that can be specified for searching the Active Leads database.

The available search criteria are:

Sales Rep

A drop-down list of Sales Reps.

The default for this field is Show All.

Business Division

A drop-down list of Business Divisions. This list is maintained in Lead Settings.

Affiliation

A drop-down list of Affiliations. This list is maintained in Customer Settings.

Lead Status Between

The range of lead status percentages to search ( 10% - 90%).

Added Between

The date range in which the leads were added to CommTrak.

Follow-Up Between

The date range in which a Follow-Up has been set for a lead.

Forecast Between

The date range for the Forecast date set for a lead.

Search Criteria 1 - 5

Up to five additional criteria can be specified for the lead search. Initially, only one additional criterion is visible, but additional criteria may be added by clicking the   button, or removed by clicking the button.

Each criterion is specified by selecting the search field, the type of match required, and the text against which the search criterion is to be matched.

Available field types are:

  • Address
  • Trading / Company Name
  • Product Type
  • Progress
  • Lead Source
  • Postcode
  • Suburb
  • Teleappointer
  • Custom fields (if any)
Available match types are:
  • Contains
  • Equals
  • Starts with
  • Is not empty
  • Doesn't contain
  • Doesn't equal
  • Doesn't start with
  • Is empty
An example of a completed search criterion is shown in the image below:

In the above image, in addition to any of the main search criteria that may have been specified, listed leads must also have a Progress item selected, that contains the text  presented. The  button adjacent to Search Criteria 1 has been clicked to present the second criteria fields.

The search criterion text field is not case-sensitive.

Action buttons

The action buttons are shown in the above image.

 executes the search, and updates the Leads list in the Active Leads section of the screen.

 resets all the search criteria fields. Prior to the fields being reset, you will be prompted to confirm your action. If confirmed, all of the search criteria will be reset, and the Leads list will refresh.

Leads Map

The Leads Map displays a map with pins indicating the location of each lead according to the displayed the results in the Leads list at the bottom of the screen.

Hovering the mouse over a pin displays the company name for the lead, in a pop-up tooltip.

The map pins display the initials of the allocated Sales Rep.

If a lead record does not specify a geographical location (i.e. partial or no address information), a warning message containing a link to the Lead will be displayed above the map. Clicking the LD number link, in the warning message, will open the lead record in a new tab, enabling the user to update the address information with ease.

Clicking on a map pin, displays a pop-up containing the following information:

  • Company Name
  • Lead ID
  • Lead Value
  • Date Created
  • Forecast Date
  • Status
  • Sales Rep

The map includes features such as:

  • Pan
  • Zoom
  • Full Screen
  • Satellite view
  • Street View by Google Maps

Leads Map is a Google Maps integration, and is an optional feature available upon request. Please contact CommTrak Support Team for information about activating this feature.

Leads Reassignment / Deletion

This section provides features for bulk-reassigning or deleting leads.

The Leads Reassignment section is only visible to CommTrak users with specific permissions. If you require access to the Leads Reassignment section, and are unable to see it, please contact your organisation's CommTrak Administrator.

Lead Reassignment

The process for bulk-reassigning leads is:

  1. Select the leads to reassign
  2. Select one criterion for reassignment
  3. Click the  button adjacent to the selected criterion

The fields available for reassignment are:

  • Sales Rep
  • Relationship Management fields (if any)

Bulk reassignment cannot be undone! Please refer to the article Bulk Selection of Records prior to using the bulk-reassignment features, to ensure that you have a full understanding of the bulk-selection options prior to clicking a reassignment button.

Lead Deletion

The process for bulk-deleting leads is:

  1. Select the leads to delete
  2. Click the  button adjacent to the Delete Leads fields

Bulk lead deletion cannot be undone! Please refer to the article Bulk Selection of Records prior to using the bulk-reassignment features, to ensure that you have a full understanding of the bulk-selection options prior to clicking the Delete button.

Example Reassignment

In this example, we will reassign selected leads to the specified Sales Rep.

  1. In the Active Leads section (the final section in the Leads screen), select one or more leads by ticking the box in the second column. You can select / deselect all leads on the page by ticking / unticking the box in the second column-header. 
  2. In the Leads Reassignment section, select the name of the Sales Rep to whom the selected leads are to be reassigned.
  3. Click the  button adjacent to the Sales Rep drop-down list.

Active Leads

The  Active Leads section displays a list of leads based on the search criteria specified in the Leads Search section.

The image above shows a limited selection of columns; the columns labels in your CommTrak may differ. It is recommended that you click the red icon (shown towards the top-left of the above image), to familiarise yourself with the available columns, and to customise the columns to your requirements. See Column Sorting and Customisation for more information.

Clicking on a lead row displays the Lead screen.

The number of lead records per page (up to 100) can be selected in the  per page drop-down list, located at the bottom of the Leads page.

If the number of leads in the search results exceeds the number of lead records displayed per page, the next and previous buttons will be displayed at the bottom of the  Leads page, as appropriate.
