Bulk Remove Users from Relationship Managers Field

This article explains the steps required to bulk-reassign the allocation of CommTrak users from a Relationship Manager field in all Customer and Lead records, so the Relationship Manager field can be removed in the CommTrak Settings.

Scenario

You cannot delete a Relationship Manager field, because some Customers and / or Leads have a CommTrak username assigned to that field. The following message is displayed, when you attempt to remove the unwanted field in the Relationship Manager settings:

Note: Relationship Manager you are trying to delete is still assigned to Customers/Leads. Using Customers menu link, set this role to 'Not Specified' for all records still using it before trying to delete.

Solution

Bulk-reallocate the Relationship Manager to Not Specified, for all Customers and Leads, then delete the Relationship Manager field in the settings.

You must have permissions that enable you to view all Customers and Leads, to complete this process.

These steps are irreversible; please ensure that you understand the process, and intend to remove the allocation of all CommTrak users from a Relationship Manager field for all Customers and Leads, before proceeding.

  1. Click Customers on the CommTrak main menu
  2. Click in the search section, to ensure that all search filters are cleared
  3. Select all records, using the bulk selection feature 
  4. Reassign the Relationship Manager to Not Specified

If the Relationship Manager is also visible on the Leads screen, you may need to repeat the above process for Leads. i.e. in step 1, above, click Leads on the CommTrak main menu.

You can now delete the Relationship Manager in the Relationship Manager settings.
