Add Contact with New Customer

There are now fields available for adding a Contact whilst adding a new Customer.

When adding a new Customer, the Contact fields are presented as shown in the following image:

The Contact will be allocated as the sales contact for the new Customer.

If adding a Contact with a new Customer record, the Contact Person field must be completed. If any of the other contact fields are populated when the Contact Person field is empty, a warning banner will be displayed when the record is saved, at which time either the contact person's name must be entered, or the other contact fields must be cleared, prior to being able to save the new Customer record.

Appointment Enhancements

Enhancements have been implemented to improve the management of appointments in both the Leads and the Telesales modules.

When a Lead/Opportunity has no appointments, the Appointment field is displayed as shown:

  • Clicking the Add Appointment (plus) icon opens the Calendar module in a separate browser tab, and an appointment can be added.

Closing the Calendar browser tab returns to the Lead/Opportunity, and a summary of the upcoming appointment is displayed in the Appointment field:

  • Clicking the Modify Appointment (pencil) icon opens the Calendar module in a separate browser tab, and the upcoming appointment's pop-up window is displayed on the calendar, ready for editing.
  • Clicking the Appointment History (clock) icon displays the appointment History pop-out window.

When the appointment date displayed in the Appointment field is historical (i.e. it is a past appointment), the field is displayed as shown:

  • Clicking the Modify Appointment (pencil) icon opens the Calendar module in a separate browser tab, so the appointment can be edited.
  • Clicking the Appointment History (clock) icon displays the appointment History pop-out window.
  • Clicking the Add Appointment (plus) icon enables the user to add a new appointment.

In summary, the Add Appointment icon is only displayed when there are no upcoming appointments.

Reminder: Current appointments are listed on the Active Leads screen, as highlighted in the previous image.

Workflow

Comments Column Added to Customer Workflow Screen

A column for the Workflow Comments field has been added to the Workflow Case lists in the Customer's Workflow tab:

This enables easier identification of specific Workflow cases where there are multiple Workflows of the same type.

Due to space restrictions, a limited width has been allocated to the Comments column, however, hovering over the visible portion of the text displays a tooltip window containing the full contents of the field:

Data Sheets

Custom Field Placeholders

Custom Field placeholders are now available in Data Sheet templates.

Available placeholders are listed when editing a Data Sheet template (Settings > Data Sheets & CT Sign Settings > Data Templates).

Hovering over the help ( question mark) icon, adjacent to the custom legend, in the template editor, displays a pop-up window containing the details of each Custom Field placeholder. The following image shows the pop-up help window in the Jobs section of the Data Sheet template placeholder list:

In the above example, the Site Safety Officer placeholder would be applied in a Data Sheet template as follows:

[% job.custom.item("Site Safety Officer") %]

Generate PDF Option

Previously, a Data Sheet could only be converted to a PDF when signed, or sent to you via (for example) the Customer Portal.

We have now added the ability to generate a PDF once the Data Sheet has been created and saved (i.e. when it is available in the customer's Data tab). Once saved, when the Data Sheet is subsequently displayed in the browser, a Generate PDF button is available:

The generated PDF is store in the Customer's Data tab. To access the PDF, click the History (clock) icon, for the required data sheet. Please refer to Support Centre article Data Screen, for further information relating to Data Sheet features.
