Workflow Groups (Settings)

For an overview of Workflows and related terminology, please see the Support Centre article, Workflow Introduction.

This setting is used to configure Workflow Groups:

Accessing Workflow Groups Settings

Settings > Workflow Settings > Workflow Groups

Add a Workflow Group

Enter a name for the new Workflow Group into the  Add new workflow group field, and click  .

The following fields are presented:

Description (mandatory)

The name of the Group.

Group Tasks (read-only list)

A list of available Workflow Tasks as configured in Workflow Tasks (Settings).

Group Branches (read-only list)

A list of available Workflow Branches as configured in Workflow Branches (Settings).

Allocated Tasks and Branches

This field, displayed to the right of the Group Tasks and Group Branches fields, is a list of Workflow Tasks and Workflow Branches that have been allocated to this Workflow Group. This list will be empty for a newly-created Workflow Group.

Adding a Workflow Task to the Group

Drag and drop the name of the required Workflow Task, from the Group Tasks field (on the left), into the Allocated Tasks and Branches field (on the right).

If items have already been added to the Allocated Tasks and Branches field, the new Workflow Task can be dragged above or below existing items, so the items are listed in the correct order.

Adding a Workflow Branch to the Group

Drag and drop the name of the required Workflow Branch, from the  Group Branches field (on the left), into the Allocated Tasks and Branches field (on the right).

If items have already been added to the  Allocated Tasks and Branches field, the new Workflow Branch can be dragged above or below existing items, so the items are listed in the correct order.

A Workflow Branch cannot be the first item in the  Allocated Tasks and Branches field, as this can cause an infinite loop of branches. Any action that would cause a Branch to become the first item in the list will be prevented, and an appropriate warning will be displayed.

Removing an Item from a Group

Drag and drop the item from the  Allocated Tasks and Branches field (on the right) into the relevant list on the left.

Reordering Items in a Group

Drag an item in the  Allocated Tasks and Branches field up or down to drop it into the required position in the list.

Modify a Workflow Group

  • Select a Workflow Group from the list displayed at the top of the settings screen
  • Edit the Tasks and Branches fields as required (see the above section Add a Workflow Group for a description of available fields and editing actions)
  • Click 

Effects of Modifying a Workflow Group

Changes to a Workflow Group do not affect active Workflow cases.

Delete a Workflow Group

Deleting a Workflow Group does not delete any completed or active Workflow cases.

  • Select a Workflow Group from the list displayed at the top of the settings screen
  • Click the   button that is displayed in the Modify a workflow group section.

Deleting a Workflow Group cannot be reversed.

Deleted Workflow Group names will continue to be displayed in the filters on the Active Workflow Cases screen as long as there are active Workflow Cases of that group type.
