Job Miscellaneous (Settings)

There are several Miscellaneous Job Settings that can be configured for the Jobs module.

Miscellaneous Settings Fields

The following fields can be configured:

Which job status should be selected as default for all new jobs created

When a new Job is created, the Job Status specified in this field will be designated. The user can select an alternative Status for the Job, if required.

Job Statuses can be added or removed from this list in Job Statuses (Settings).

Scheduler default view

When the Job Schedule screen is displayed, this setting determines the default view. The available options are:

  • Daily - displays Jobs for the current day (per Technician)
  • Weekly - displays Jobs for each day of the week
Enable emailing of new jobs to customers by default

When a new Job is created, this setting determines if the Customer contact will be emailed automatically upon saving the Job.

Enable emailing of new jobs to technicians by default

When a new Job is created, this setting determines if the Email Technician field will be ticked by default. The available options are:

  • Yes - the Email Technician field will be ticked by default
  • No - the Email Technician field will not be ticked by default

The user can override the default selection on the Job screen.

Email address to notify of a changed job

When a Job is changed, a notification email can automatically be sent to one or more designated email addresses. This feature may be used, for example, to notify the person responsible for Job scheduling that a Job has been changed, and may require additional time to be allocated.

Multiple email addresses can be separated with a comma.

Email address to notify of a closed job

When a Job is closed, a notification email can automatically be sent to one or more designated email addresses. This feature may be used, for example, to notify your Accounts Department that a Job has been completed, so they can raise an invoice.

Email address to notify of a new job

When a Job is created, a notification email can automatically be sent to one or more designated email addresses. This feature may be used, for example, to notify the person responsible for Job scheduling that a new Job has been created, and may require allocating to a Technician.

Email address to notify of a new CT-Sign created for the job

When a new CT-Sign document has been created for a Job, a notification email can automatically be sent to one or more designated email addresses. This feature may be used, for example, to notify members of your Administration team that a new document is available for processing.

Maximum number of days that can be allocated to a job

This field specifies the maximum number of days that can be allocated to a Job.

From 1 to 30 days may be specified.

Maximum number of technicians that can be allocated to a job per day

This field specifies the maximum number of Technicians that can be allocated to a Job per day.

From 1 to 20 Technicians may be specified.

Maximum number of photos that can be uploaded from a job

This field specifies the maximum number of photographs that can be uploaded to a Job.

From 1 to 10 photographs may be specified.

Folder to upload new job photos to

By default, Job photos will be uploaded to the Customer's Unclassified Documents folder.

An alternative folder can be selected from the dropdown list.

Earliest job start time

This field is used for specifying the earliest start time for a Job.

A start time between 00:00 and 19:00 may be specified (in hourly intervals).

Maximum allocated number of hours per job for technician

This field specifies the maximum number of hours for which a Technician can be allocated to a Job.

From 1 to 16 hours may be specified.

How many productive minutes per technician to allocate per day

This field is used to specify the number of working minutes in a Technician's working day.

Preferred method of determining labour charge rate (refer to Labour Rates Matrix)

The available options are:

  • Job Type (default)
  • Activity

This field is used to specify whether the Job Type or Productivity Activity are used for calculating labour charges for Jobs.

To maintain backwards compatibility (prior to the implementation of Productivity Activities), Job Type is retained as the default method. If Jobs are to be charged based on Productivity Activities, the Activity option must be selected.

In either case, rates are calculated using the Labour Rates Matrix. Please refer to the Labour Rates Matrix (Settings) article for detailed information pertaining to the configuration of this feature.

Show note ID in Job notes (default No)

Determines if Job Note ID and link are displayed in each Job Note's header.
