FAQ - Deactivate User Account

This article explains how to prevent a user from signing-in to CommTrak by deactivating their user account.

Changing a user's password is not a secure method of preventing them from accessing their account, as the user may access the Forgot your password? feature to reset their password, and regain access. If you need to keep a user's account active, and also prevent them from signing-in to CommTrak, the user's email address will need to be changed to an address that the user cannot access. This method of preventing account access is not best practice, and we recommend deactivating the user's account as explained in this article.

Deactivating a user account is the recommended method for preventing access to CommTrak, for the following reasons:

  • Access to the user's account is immediately blocked
  • The user cannot regain access by requesting a password reset
  • The deactivated username will still be associated with CommTrak items such as Notes, Tickets, etc., which is useful for future reference.

Deactivate a User Account

Deactivating a user's account will immediately prevent them from being able to sign-in to CommTrak.

To deactivate an account:

Settings > User Settings > Users > [username]

  • Untick the Active checkbox in the Main Info section of the user's settings
  • Click 

When a user's account has been deactivated, their name will no longer be displayed in any Staff Member drop-down lists that appear within CommTrak.

Accessing Deactivated User Account Settings

To view the list of deactivated user accounts, change the filter at the top of the User Settings screen, to Inactive:

  • Settings > User Settings > Users
  • Change the filter to Inactive
