Conference Mode

Conference Mode enables the CommTrak User to use a tablet or laptop to obtain Lead information from contacts, typically at a conference, but this feature may be utilised for any face-to-face lead creation.

The collected information is stored as a CommTrak Lead, and automatically generates and sends a Welcome email, together with relevant product information (e.g. product brochures) to the Lead contact.

If the mobile device has a camera, it can be used to capture an image associated with the contact person; e.g. business card, or photograph.

Conference Mode Requirements

This feature is available to hosted CommTrak installations only, and requires Internet access.

i.e. if using a mobile device, the device must be connected to the Internet via one of:

  • Wi-Fi
  • Sim Card
  • Mobile Hotspot

Conference Selection

When Conference Mode is selected, a new browser window (or new browser tab, on a mobile device) will be displayed, offering selection of the required conference.

Conferences are configured in Settings > Lead Settings > Conference Mode.

Conference Data Collection Screen

Upon selecting the required conference (see Conference Selection, above), the Conference Lead Data-Collection screen is presented. This screen is used for collecting Lead contact information, together with information relating to products of interest to them.

Contact Information Fields

The following fields are presented for completion, and the information is typically entered by the sales consultant:

  • Company Name (mandatory): This is a standard CommTrak company-selection field (i.e. a list of matching company names will be displayed for selection).
  • Contact Person
  • Contact Mobile
  • Email
  • Main Phone
  • Address
  • Suburb
  • State / Postcode
  • Your Consultant (defaults to currently logged-in user)
  • General Comments: text-area to record arbitrary information
  • Photo: On a mobile device with a camera, selecting Choose File opens the device's camera application, at which time, a photograph can be taken (e.g. business card or person). If using a desktop web-browser, the Open dialog box is presented, enabling the user to upload a document of any type.
  • Product Selection

    The Product Selection area is presented to the right of the Contact Information Fields.

    This section presents a list of products that have been associated with the selected conference. Placing a tick next to an item, will identify it as a product of interest to the Lead contact.

    When the Lead contact information is saved, the product brochures associated with the selected items, will be sent as attachments to the contact's Welcome email (see below).

    Data Sheet

    If additional data-collection fields are required, a Data Sheet can be selected from the drop-down list, and the data-sheet fields can be completed accordingly.

    Saving the Lead

    When is pressed, the following actions occur automatically:

    • The information entered into the form is saved as a new CommTrak Lead.
    • A Welcome email is automatically generated, and sent to the Lead contact. If any items were ticked in the product selection area of the form, the relevant product brochures (if any) will be attached to the Welcome email.
    • A blank form is displayed for collecting information from the next Lead contact.

    The content of the Welcome email is generated from a template in the conference configuration. See Settings > Lead Settings > Conference Mode for further information.

    Closing Conference Mode

    Pressing the close icon at the top-right of the screen, closes the Conference Mode browser window (or tab), returning the user to the main CommTrak browser tab.
