Quote Automated Email Reminders (Settings)
Quote Automated Email Reminder Templates specify the message template and the intervals at which automated email reminders will be sent to a Quote contact.
Two example templates are provided with all CommTrak installations:
- Quote without signature reminder
- Quote with signature reminder
Please view and modify these examples as required, and create new templates as appropriate for use within your organisation.
Accessing Quote Automated Email Reminder Templates Settings
Settings > Lead Settings > Quote Automated Email Reminders
Add a Quote Automated Email Reminder Template
In the Add new automated quote reminder template section, complete the following fields:
- Reminder Template Name (mandatory)- the name presented when a user is selecting a reminder template in the Quote.
- Number of Reminders (mandatory - default 3) - the number of email reminders to send (from 1 to 5)
- Reminder Intervals - for each reminder (specified in the previous field), the number of days after the previous reminder, on which the reminder email will be sent.
The interval is the number of days after the previous reminder. For example, if there are 3 reminders, with intervals of 1, 3 and 10 days respectively, the first reminder will be sent 1 day after the initial Quote email is sent, the second reminder will be sent 3 days later (i.e. 4 days after the initial email) and the final reminder will be sent 10 days after the second reminder (i.e. 14 days after the initial email).
- Subject - the subject of the email message that will be sent to the quote contact.
- Reminder Body - the body of the email message that will be sent to the quote contact. When creating a new template, example content (including placeholders) is provided in this field.
Placeholders can be used in both the Subject and the Reminder Body fields. For more information about placeholders, please refer to Support Centre article Email Notifications (Settings) / Placeholders.
Press Add to create the Quote Automated Email Reminder.
Modify an Existing Quote Automated Email Reminder Template
- Select a Quote Automated Email Reminder Template from the list displayed at the top of the settings screen
- Edit the fields as required
- Press Save
Delete an Existing Quote Automated Email Reminder Template
- Select a Quote Automated Email Reminder Template from the list displayed at the top of the settings screen
- Press the Delete button that is displayed below the Modify a Quote Automated Email Reminder Template section heading.
- Confirm deletion by pressing OK, or Cancel to retain the Task
Deleting a Quote Automated Email Reminder Template cannot be reversed.
