Company-wide Email Signatures (Settings)
Multiple Company-Wide Email Signatures can be configured for emails that are sent by CommTrak users from within CommTrak (for example, by clicking the New Email button on a customer's screen).
The purpose of this feature is to enable users to send emails with appropriate signatures depending on their role, department, or current activity. See the CommTrak Support Centre article Customer Notes & Emails, for further information about sending emails from within CommTrak.
Users can specify their default signature in My Details (see CommTrak Support Centre article Start Here - My Details, for further information).
Prior to creating or modifying email signatures, it is recommended that you refer to the CommTrak Support Centre article Email Template Editor Features, to familiarise yourself with the features of the HTML editor.
Accessing Company-Wide Email Signatures Settings
Settings > User Settings > Company-wide Email Signatures
Add a Company-Wide Email Signature
- In the Add new company signature section, enter a name for the new signature

- In the Maintain company signature section, complete the following fields, as required:
Company Signature (mandatory)
Edit the name of the signature, if required.
Assign to Staff
Tick the box adjacent to the names of staff who should have access to this signature when sending an email.
Signature Body
A blank template will be displayed in the CommTrak HTML editor, into which the signature should be entered.
Enter the content of the signature using CommTrak's HTML editor. See the CommTrak Support Centre article Email Template Editor Features, for further information about using the HTML editor.
Include Image
If an image (such as a logo) is to be displayed in the signature, select an image file to upload. Once uploaded, the image can be positioned by dragging-and-dropping it within the HTML editor.
To delete an image that has been uploaded, click the Delete button (which is only displayed after an image has been uploaded).
Saving the Signature
Prior to saving the signature, it is recommended that the Send Preview feature be used to ensure that the signature displays correctly in a recipient's email message. See the CommTrak Support Centre article Email Template Editor Features, for further information about the preview feature.

Modify a Company-Wide Email Signature
- Select a Company-wide Email Signature from the list displayed at the top of the settings screen
- Edit the required fields (as detailed in the Add a Company-Wide Email Signature section, above)
- Click
Delete a Company-Wide Email Signature
- Select a Company-wide Email Signature from the list displayed at the top of the settings screen
- Click
Deleting a Company-wide Email Signature cannot be reversed.
