Sales Dashboard

The Sales Dashboard displays information, including charts, data-tiles and tables, based on real-time sales and workflow activity within CommTrak, and is accessed by clicking the Sales Dashboard option in the main navigation pane.

Charts

All the Sales Dashboard screens, except for the Activity screen, display charts, which can be updated by modifying the options (where applicable) on each screen.

Tiles

Several of the Sales Dashboard screens display tiles containing either numbers, sales values, or percentages, depending upon the context of the tile.

Tiles with blue text-headings update depending upon the selected options (for example a different period can be selected on some screens, so the information may be historical).

Tiles with green text-headings contain information 'as-of-now', and are not affected by any of the selectable options.

Each tile also has a footer-label, summarising the meaning of the tile's content; it is important to become familiar with the purpose of each tile, to ensure that the information is interpreted correctly.

Common Features

Where relevant, the following common features are available in the Sales Dashboard:

  • Clicking a chart segment displays a list of associated leads in the section below the tiles. Clicking on the company name of a lead opens the lead details screen in a separate browser tab.
  • Clicking a chart segment updates the tiles with blue headings (where appropriate).
  • Hovering the mouse over a chart segment or chart-marker displays a pop-up window containing relevant summary information for the segment or marker.
Staff (default Show All)

Every dashboard screen has a Staff option, which filters the results to display only information for the selected staff member. Where staff members have been allocated to a sales manager, the sales manager's team or individual team members, can be selected.

Information Tiles:

The following information tiles displayed with green headers, are displayed on several of the dashboard screens:

  • Total Leads Number: The number of open leads.
  • Total Lead Value: The value of all open loads
  • Sales Cycle: The number of days, on average, to close a lead this year.
Chart Legend:

Where a chart displays a legend, the legend labels can be clicked individually to exclude the item from the chart.

In the following sections, reference will only be made to the above common features, where they differ from those described above.

Sales Dashboard Screens

Each section of the Sales Dashboard is accessed by clicking one of the tabs displayed at the top of the screen; the sections are as follows:

New Leads

Sales values of new leads for current rolling quarter, and sales values / percentages of new leads per business division.

Options

  • Category: Per Division, Per Staff

Information Tiles:

  • Value This Month: The total value of closed leads for the selected month.
  • Forecast: The total value of currently open leads that are forecast to close during the selected month.
  • Success Rate: Successful leads closed in the selected month, displayed as a percentage of all leads forecast to close in the selected month.

Closed Leads

Sales values of closed leads for current rolling quarter, and sales values / percentages of new closed per business division.

Options

  • Category: Per Division, Per Status, Per Source, Per Staff, By Age
  • Data Source: Leads, POS

Information Tiles:

  • Successful Closed: The Value of leads successfully closed in the selected period.
  • Forecast: The total value of currently open leads that are forecast to close during the selected month.
  • Success Rate: Successful leads closed in the selected month, displayed as a percentage of all leads closed in the selected month.
  • Unsuccessful Value: Value of unsuccessful leads closed in the selected month.

Lead Source

Lead percentage and value per lead source.

Options

  • Period: Month, 12 Months, 24 Months
  • Month: Select from current rolling quarter
  • Data Source: Leads, POS

Lead Status

Lead percentage and value per lead status.

Leads Pipe

Sales value per division

Options

  • Category: Per Division, Per Status, Per Source

Information Tiles:

  • Success Rate: Success rate for closed leads as a percentage of all closed leads in the rolling year-to-date.
  • Average Sale Value: Average monthly sales value of leads as a percentage of leads in the rolling year-to-date.

Leads Closed YTD

Leads closed in the specified period.

Options

  • Category: Per Division, Per Staff
  • Period: 12 months, 24 months
  • View: Monthly, Quarterly
  • Data Source: Leads, POS

Information Tiles:

  • Successful Closed: Value of leads in the current month.
  • Success Rate: Success rate for closed leads in the rolling year-to-date as a percentage of all leads.
  • Average Sales Value: Average monthly sales value of leads as a percentage of leads in the selected period (i.e. either 12 or 24 months).

Old vs New

Number and percentage of new vs existing customer for specified period.

Options

  • Period: 12 months, 24 months
  • Month: Select from current rolling quarter
  • Data Source: Leads, POS

Forecast

Value of sales forecast for 12 months from the beginning of previous quarter.

Targets MTD

Sales target values for the month-to-date.

Options

  • Data Source: Leads, POS

Targets YTD

Value of sales targets, per division, for the next 12 months.

Options

  • Data Source: Leads, POS

Telesales

Status of leads originating from the Telesales module (successful, unsuccessful, open), for the previous rolling quarter (including this month).

Follow-ups

Follow up status for currently-open leads.

Clicking any segment on one of the charts drills-down into the data, and displays the results below the information tiles.

Workflow

This dashboard screen displays data pertaining to workflows started from the leads screen, on the successful closure of a lead. Workflows that are started manually, or which relate to unsuccessful leads, are not included in this data.

Information Tiles:

Information tiles displayed with a blue header pertains to the month selected in the displayed chart (defaults to current month).

  • Workflows Closed: The number of workflows closed in the selected month.
  • Value of Closed WFs: The value of workflows closed in the selected month.
  • Projected Completion: The number of workflows projected to be completed in the selected month.
  • Projected Value: The value of workflows projected to be completed in the selected month.
  • Total Number of Workflows: The number of active workflows related to successful leads (as of now).
  • Tasks Overdue: The number of overdue tasks in workflows related to successful leads (as of now).

Activity

Summary list of open leads.

The columns displayed are:

  • Lead number
  • Customer
  • Account Exec
  • Value
  • Division
  • Date Added
  • Source
  • Status
  • Due Date
  • Lead Progress

Clicking the name of the customer opens the lead in a new browser tab.

Action Buttons

  • [Produce CSV] - exports the summary list to a CSV file that can be manipulated in third-party applications (e.g. Microsoft Excel, Power BI, etc).

Search

The Search option in the main navigation pane, returns the user to the CommTrak Home Screen, where the following features are located:
