Accounting Software Integration (MYOB)

This article is a step-by-step guide to granting permissions for CommTrak to access specified MYOB Company Files.

Prior to authenticating CommTrak's access to MYOB, it is vital to ensure that appropriate permissions and restrictions have been assigned to each of your CommTrak users. Supervisor role can access the Accounts tab on the Customer profile.

If you have CommTrak Supervisors, who you do not wish to access to the Accounts tab, you can create a custom role, based on Supervisor, and remove the Accounts permission, 'Allow users to view/modify all accounting software related information'. You can then assign the custom supervisor role to users as appropriate. For an example of creating a custom role, see Support Centre article: https://support.commtrak.com.au/article/257-change-user-permissions-faq

Access the Accounting Software Integration settings:

Settings > Accounting Settings > Accounting Software Integration

Select the MYOB option from the drop-down list:

Clicking the Grant Permissions button opens the MYOB secure login screen in a new browser tab:

Sign in with your MYOB credentials.

You will be prompted to enter the MYOB verification code that has been emailed to you:

Once authenticated, you will be prompted to Allow access to enable CommTrak to communicate with your MYOB account:

If your MYOB Company Files are not protected with a Username and Password, you do not need to enter credentials into those fields. If the files are protected, you must enter the appropriate credentials for each file that CommTrak will access.

If a MYOB Company File is not going to be used within CommTrak, you should remove it from the verification list by clicking the adjacent trash can icon (visible in the previous image).

IMPORTANT SECURITY NOTE: Clicking the trash can icon, to remove a file from the verification list, is not a security measure to prevent CommTrak from accessing a MYOB Company File. An authorised CommTrak user could later re-grant permissions, at which time all MYOB Company Files will be re-listed, and can be verified without further authentication, if not protected with a Username and Password. For this reason, we strongly advise protecting each MYOB Company File with a unique Username and Password.

Click the Verify button to confirm CommTrak's access to the MYOB Company Files; the verified icon for each Company File will be updated accordingly, as shown in the following image:
